Task hierarchy
Task hierarchy helps you organise tasks into folders and lists.
How the hierarchy works
The hierarchy contains three types of items:
- Folders organise related areas of work. They can contain lists and other folders.
- Lists group related tasks.
- Tasks are the individual pieces of work you need to complete.
Every task belongs to a list. Tasks cannot be placed directly inside a folder.
A hierarchy can look like this:
Work
├── Client projects
│ ├── Website redesign
│ └── Product launch
└── Administration
In this example, Work and Client projects are folders. Website redesign, Product launch, and Administration are task lists.
Open the task hierarchy
Select Tasks, then select Task hierarchy.
The first page shows your top-level folders and lists. Select a folder to see what it contains, or select a list to view its tasks.
Use the back arrow beside the current name to return to the previous level. In a nested folder, you can also use the menu beside its name to return directly to an earlier folder.
Create folders and lists
Select Add folder or Add list at the top of the current folder.
Enter a name and save the item. Open a folder to create another folder or list inside it.
Use folders for broad areas of work and lists for groups of tasks that belong together.
Add tasks to a list
Open a list and select Add task.

Reorder folders, lists, and tasks
Drag folders and lists to change their order at the current level.
Tasks can also use a manual order. Open the sorting menu and select Position to use this order.
You can also sort tasks by:
- Deadline
- Next occurrence
When sorting by deadline or next occurrence, choose Ascending or Descending.
Move an item
To move a folder or list:
- Right-click the item.
- Open Move to.
- Select the destination folder.
A folder keeps its contents when moved. A list keeps all its tasks.
To move a task, open its settings menu, select Move to list, then choose the destination list.
Moving an item may change its inherited properties because it begins inheriting settings from its new parent in the hierarchy. Learn more in Hierarchical Task Properties.
Rename or delete an item
Right-click a folder or list to open its menu.
- Select Rename to change its name.
- Select Delete to remove it.
The app asks you to confirm before deleting a folder or list. Check its contents before confirming.
Open a task’s settings menu to move or delete that task.
Search the hierarchy
Use the search button inside a folder to find folders and lists within that part of the hierarchy.
Open a list and use its search button to find a task.
Use the Inbox
The Inbox is a built-in list for tasks that have not been organised into another list.
You can create tasks in the Inbox and move them to another list later.
