Tasks and events

Events

Events represent activities that happen at a specific time, such as meetings, appointments, classes, or travel.

Events stay where you place them. Autocomplete plans tasks around timed events marked as Busy but does not move the events themselves.

Create and edit an event

Every event must belong to a calendar. A new workspace includes a calendar named Personal.

To add an event to the initial calendar:

  1. Select Events at the top of the right sidebar.
  2. Open Personal.
  3. Select Add event.
  4. Enter an event title and set its start and end time.
  5. Select Save.

Select Save & New if you want to save the event and immediately create another one in the same calendar.

To create another calendar, select Add calendar, enter a name, choose a colour, and save it. You can create separate calendars for different groups of events, such as work, personal appointments, and travel.

A calendar provides a default colour and reminder for its events. Open the calendar menu to rename it, change its colour, configure its default reminder, or delete it.

You can drag calendars to change their order in the list.

You can also create an event directly on the calendar:

  1. Select the required time by clicking and dragging across the calendar.
  2. In the creation panel, select Event.
  3. Select the calendar where the event should be stored.
  4. Enter the event details.
  5. Select Save.

To change the event’s title, description, reminders, colour, visibility, or availability, select Events at the top of the right sidebar, open the calendar that contains the event, then select the event. These changes are saved automatically.

To change when an occurrence starts or ends, edit it directly on the calendar or open it in the right sidebar:

  • On the calendar: Drag the event to move it without changing its duration. Drag its top edge to change the start time or its bottom edge to change the end time. The new time is saved when you release it.
  • In the right sidebar: Open the event, expand Occurrences, then open the menu beside the required occurrence and select Open. Change its start or end time; the changes are saved automatically.

To reach the event from the calendar, select one of its occurrences, then select Open in sidebar in the upper-right corner of the panel.

Event properties

Basic properties such as the title, description, colour, and reminders are edited in a similar way to task properties. See Task properties for the general editing pattern.

Events also have properties related to their fixed position on the calendar:

PropertyDescription
CalendarThe calendar where the event is stored. Every event must belong to one calendar.
Start and endThe date and time when the event begins and ends.
TimezoneThe timezone used for the event time.
RepeatDetermines whether and how often the event repeats.
VisibilityThe event’s visibility value: Default visibility, Private, or Public.
AvailabilityDetermines whether the event is treated as Busy or Free.

An event inherits its colour from its calendar unless you select another colour.

Events can also inherit a default reminder from their calendar or the app settings. You can add multiple reminders to an individual event, disable inherited reminders, or restore them.

Event occurrences

An event occurrence is one scheduled appearance of an event. A one-time event has one occurrence, while a recurring event can have many.

Event occurrences work similarly to task occurrences. Each occurrence has its own start and end time and can override the main event’s title, description, colour, timezone, and reminders.

Open an event and select the calendar icon in its header to view All occurrences.

To change only one scheduled appearance, open that occurrence and edit it. To remove one appearance without deleting the event, delete the occurrence.

For a general explanation of occurrences and inherited information, see Task occurrences.

Recurring events

Use a recurring event for an activity that follows a regular schedule.

To make an event repeat:

  1. Select the required time on the calendar.
  2. Select Event.
  3. Enter the event details.
  4. Select Does not repeat.
  5. Choose how often the event should repeat.
  6. Select Save.

You can create daily, weekly, monthly, yearly, or custom recurrence patterns.

To change a repeat rule after creation, open any event occurrence and edit its current repeat setting. The new rule applies to the selected occurrence and the occurrences that follow it.

When you change an occurrence’s time without changing its repeat rule, or delete an occurrence, recurring events use the same editing scopes as recurring tasks:

  • Only this occurrence
  • This and following occurrences
  • All occurrences

See Recurring tasks for an explanation of each option.

Unlike a recurring task, a recurring event does not track completion. Each occurrence remains a fixed calendar commitment unless its availability is set to Free.

Fixed commitments

A timed event marked as Busy is a fixed commitment. Autocomplete treats that period as unavailable and places tasks around it.

Changing a busy event’s time or availability may cause autocomplete to update task placements.

An event marked as Free remains visible in the calendar but does not block autocomplete from placing tasks during the same period.

All-day events also remain visible without blocking autocomplete. Use a timed Busy event when the event must reserve specific hours.

Autocomplete never moves events. To change an event’s position or duration, move or resize it manually.

For more information about automatic task placement, see Autocomplete.

Tasks versus events

Use an event when an activity must happen at a specific time. Use a task when the work needs to be completed but its exact position can remain flexible.

Use a task when…Use an event when…
The work can be placed in any suitable available period. The activity must happen at a specific time.
You need an expected duration, priority, start date, or deadline. You need a fixed start and end time.
Autocomplete may place or rearrange the work. The item must remain fixed on the calendar.
You want to mark the work as completed.Completion tracking is not required.
The item belongs to a to-do list. The item belongs to a calendar.

For more information about creating and managing tasks, see Tasks.

Delete an event

To delete an entire event, select Events, open its calendar, select the event, open its menu, and select Delete.

You can also select an event occurrence on the calendar and use Delete in the upper-right corner of the panel.

For a recurring event, Nodify Calendar asks whether you want to delete only the selected occurrence, the selected and following occurrences, or the entire series.
