Quickstart: your first week

Build a simple work week and let autocomplete place your tasks on the calendar.

You will create a task folder and list, add several tasks, connect them to Work hours, and define the structure of your week.

Create a folder

In the left sidebar, open Tasks, then select Task hierarchy. Here, you can organise your tasks into folders and lists.

Select Add folder and give the folder a name that describes the work or tasks you will keep inside it.

For this example, create a folder named Work.

Open the folder after you create it. A folder can contain more folders for subprojects, or it can contain task lists directly.

Inside the Work folder, select Add list.

Enter a name for the list. For example, name it Tasks, then press Enter.

The list now belongs to the Work folder.

Add your tasks

Open the list and select Add task.

Enter the task title. While creating a task, you can also set:

  • Start from — the earliest time when the task may begin.
  • Deadline — when the task should be finished.
  • Expected duration — how much time the task needs.
  • Priority — which tasks should be placed first when time is limited.
  • Description — any notes you need while doing the work.
  • Colour — how the task appears in the app.

Select Save to finish, or Save & New to save the task and immediately create another one.

Add a few real tasks for the coming week. Make sure each task has an expected duration. Add deadlines where they matter.

Create schedule

After you have created your tasks, select Schedules at the top of the side panel.

By default, a schedule named Work hours is already available. You can use this schedule, rename it, or create schedules for other activities.

To create a new schedule, select Add schedule, enter a name, and save it.

Apply autocomplete to the tasks

Return to Tasks. You will see the tasks you created.

Use the arrow next to the list or folder name to navigate back to the Work folder.

Right-click the Work folder.

A context menu will appear. From this menu, you can rename or move the folder and manage settings inherited by its contents, including duration, reminders, colour, autocomplete, hard deadlines, schedules, and chunking.

Open the Autocomplete enabled submenu and select Enabled.

This setting passes down through the hierarchy. Lists, subfolders, and tasks inside the Work folder inherit it unless you override the setting for a specific item.

In this example, hard deadlines and chunking are not enabled for the tasks. You can configure these settings based on your needs. Learn more in Chunking and Hard and soft deadlines.

Assign the schedule to the folder

Next, open Inherit schedule, select Custom, and choose the Work hours schedule from the list.

The tasks inside the folder now inherit this schedule. Autocomplete will place them only in schedule slots that belong to Work hours.

Add events

After creating your tasks, add the events that are already planned for your week. Select Events at the top of the right sidebar.

Every event must belong to a calendar, so you can use the default Personal calendar or select Add calendar to create another one.

To add an event from the sidebar, open its calendar and select Add event. You can also create an event directly on the main calendar by selecting a time range and choosing Event in the creation panel.

Add work time to the calendar

In the calendar, select the time you want to dedicate to work. When you select the time, the creation panel opens. In this panel, select Schedule.

Choose the Work hours schedule. Check the start and end time, then select Save.

Repeat this step for the other work periods in your week. You can also add a repeat rule when the same hours are available on several days.

A schedule slot marks time that autocomplete may use. It is not a task or a fixed event.

Let autocomplete build the week

Check the autocomplete status at the top of the calendar.

If the status is Paused, press the Paused button. The status changes to Active and autocomplete resumes scheduling your tasks.

Your tasks should appear inside the Work hours schedule slots.

Review your week

You now have a first draft of your week.

Adjust your tasks, events, or schedule slots if you want to change the result.
