Tasks FAQ
Find answers to common questions about tasks, folders, lists, and inherited properties.
Why can’t I add a task directly to a folder?
Folders contain other folders and task lists. Every task must belong to a list.
Open an existing list or create a new one inside the folder, then add the task.
What is the Inbox?
The Inbox is a built-in list for tasks that have not been organized into another list.
You can create tasks in the Inbox and move them to another list later.
Can I put a folder inside another folder?
Yes. Folders can contain other folders, allowing you to organize projects and subprojects across multiple levels.
Where can I find completed tasks?
Completed tasks remain in the Completed section of their list. See Complete, reopen, or delete a task for details.
Which inherited value is used when several folders define the same property?
The value from the closest folder or list above the task is used. A value configured directly on the task takes priority over all inherited values.
Why did a property change after I moved a folder, list, or task?
The item may now inherit properties from a different part of the hierarchy.
Custom properties configured directly on the moved item remain unchanged. Properties set to Inherit are recalculated based on the item’s new position.
What happens when I move a task to another list?
The task belongs to the new list and uses the inherited properties provided by its new location. Values configured directly on the task remain unchanged.
For instructions, see Create and manage tasks.
Does deleting a task occurrence also delete the task?
No. Deleting an occurrence removes that scheduled appearance. For a recurring occurrence, you can delete only that occurrence, that occurrence and the following ones, or the entire series. The task remains in its list.
To remove the task and all its occurrences, delete the task from its list. See Create and manage tasks.
Can I change the time of one recurring task occurrence?
Yes. When you change its time without changing the repeat rule, select Only this occurrence when Calendar asks which part of the series to change.
Changing the repeat rule applies to the selected occurrence and the occurrences that follow it. See Task properties.
